Understanding Rollovers in Basis: Locking In Your Data
What is a Rollover?
In Basis, a rollover is like cementing your projections into place and signaling to your org that data for the last month is now available for look-backs. The best practice is to tie it to your accounting month-end close. Once a rollover happens, the Projections for the previous month are set in stone, and the system shifts focus to the upcoming month.
Setting Up Your Rollover Schedule: You're in Control
Wondering how to align your rollovers with your planning cycle? Here's how:
Jump into 'Settings': It's your control center.
Click on 'Plan': This is where you can configure plan options.
Set Your Forecast Lock: Here, you choose how long Basis waits from the start of each month before moving your plan forward. It's a good idea to sync this with your accounting book closure, which might take 10-15 days, or sometimes a bit longer.
Pausing Rollovers
Sometimes you might need to hit the brakes on your automated rollovers. Maybe you're re-evaluating your forecasts or just need a bit more time to gather data. Whatever the reason, here's how you hit the pause button:
Switch Up Your Forecast Type: Head over to where you manage your forecasts.
Make the Change: Switch from 'Rolling Forecast' to 'Fixed Forecast'. Think of 'Fixed Forecast' as your pause mode.
Take Your Time: This change puts your automated rollovers on hold. They'll stay paused until you decide to switch back.
Spotting a Rollover in a Block
Before Rollover: Look for columns with blue text β that's your cue that these are still open for edits to projections.
After Rollover: The text turns a solid, darker black. This is Basis telling you that these projection values are now locked in. However, actuals may still be edited if they come in at a later date.
Can You Change a Projection After a Rollover?
Current Limitation: Right now, once a month rolls over, its projections are set in stone. You can't tweak these numbers.
