Empowering Your Team with the Right Access
Basis is all about keeping your stakeholders connected with your company's financials. Here's how you can manage who sees what in your financial world.
Setting the Stage in Settings
Where to Go: Head over to 'Settings' and then to the 'Permissions' page.
Who’s in Charge: Only Company Admins have the power to set or change user permissions.
💡 Only Company Admins can set and remove users and user permissions.
Assigning Company Roles: The First Step
Basis permissions are managed at the Company and the individual Scenario levels.
When providing access to a user first set their Company-level role.
Company Admin: Think of this as the captain's role. Full access to everything – ideal for those in charge of managing Basis, like admin finance team members.
User: This is the default starting point for almost everyone. They can log into the company on Basis but can't see any Scenario data until given specific access.
Assigning Scenario Access
After assigning your team Company-level roles, you'll next want to assign access to Scenarios they should have access to.
There are several Scenario Roles a user can be assigned.
No Access: No access to view or manage anything in the Scenario.
Editor: Has full edit access to all items within the Scenario.
This is typically granted to members of your finance team such as controllers or analysts who may need to access all data in a Scenario to model.
Viewer: Has full view-only access to all items within the Scenario.
This is typically granted to members of your Executive or founding team who may need full access to view a Scenario but should not be directly modeling.
Member: Has access to items shared with them in the Scenario. Can create and modify their own items.
This is typically granted to department heads who need limited access to manage specific Blocks such as "Sales Headcount" for planning purposes but should not have access to other sensitive financials.
Guest: Only has access to items shared with them in the Scenario. Cannot create or modify items.
A very limited role that may be used to grant someone outside your organization, such as an investor, access to a small set of data such as an Investor Dashboard.

Tailoring Access: Once you've assigned Company roles, decide who gets access to which Scenarios.
The Scenario Roles:
No Access: They won't see anything in the Scenario.
Editor: Has full edit access to all items within the Scenario.
Perfect for finance team members who need to dive deep into data and edits.
Viewer: Has full view-only access to all items within the Scenario.
Ideal for execs who need to see everything but won't be tweaking the numbers.
Member: Has access to items shared with them in the Scenario. Can create and modify their own items.
Great for department heads managing specific areas like "Sales Headcount".
Guest: Only has access to items shared with them in the Scenario. Cannot create or modify items.
For external eyes, like investors, needing a peek at specific data.
Assigning Member and Guest Limited Access
Scenario Members and Guests default to having access to no Reports, Workbooks, or Blocks. You must set which specific items they should have access to and whether they can edit that content.
To grant access to a Report, Workbook, or Block:
Find the item you wish to grant access to and tick the checkbox for "Access".
Next, select what they're able to do
Can View: Can view everything in the Report, Workbook, or Block.
Can Edit: Can view and edit everything in the Report, Workbook, or Block.
Assigning Member and Guest Access: Granular Access to Pages
Members and Guests don't see anything by default. You choose what they access.
Setting Permissions: For each Report, Workbook, or Block:
Check the 'Access' box.
Choose 'Can View' for view-only or 'Can Edit' for full access.
Inviting Someone New to the Company
Easy Invite: Click 'Add Member', enter their email, and select their role.
Basis Sends the Invite: They'll get an email to join.
💡 Don’t Forget: Set their Scenario-level permissions if they're a User, or they'll find an empty landscape on logging in.
Sharing an Individual Page with a New User
You can quickly share any page such as a single Block, Workbook, or Dashboard.
Quick Share: Use the 'Share' button on any page – a Block, Workbook, or Dashboard.
Initial Access: New users start as limited Guests with View access to only what you've shared. You can always tweak this later in the User Permissions settings.
